Recruitment Privacy Notice

Who We Are

Web2.PH, a Proweaver company (“we,” “us,” or “our”), processes applicant data in the Philippines in accordance with the Data Privacy Act of 2012 (RA 10173) and its Implementing Rules and Regulations (IRRs).

Scope

This notice explains how we collect, use, and process the personal data you provide during your application process, whether submitted through our Careers page, direct email to our hiring team, third-party job platforms, in person (walk-in), through employee referral programs (e.g., TAPP), or by registering for our free training programs with optional recruitment (e.g., TeleSuccess). It covers applications for both employment positions and internship/on-the-job training (OJT) programs, as well as follow-up recruitment activities such as interviews, assessments, and reference checks.

If our OJT program is not open at the time of your application, we may retain your résumé/CV or portfolio (if applicable) for up to 12 months for possible future program openings. Retention of your information does not guarantee acceptance into any future program.

By submitting your application, résumé/CV or portfolio (if applicable), or supporting documents through any of these channels, you acknowledge that you have read and understood this Privacy Notice and voluntarily consent to the collection, use, storage, and processing of your personal data in accordance with its terms.

1. What We Collect

We collect only the personal data necessary for recruitment and related activities, whether you apply online, by email, in person, through referral programs, or via free training programs with optional recruitment, such as:

  • Identifiers and contact details: name, email address, phone number, and current address
  • Application details: educational attainment, employment status, expected salary, résumé/CV or portfolio (for employment or OJT, if applicable), and related supporting documents.
  • Scheduling and communications: preferred contact method and times, and any messages you provide during the application process (online or in person).
  • Training program data: details provided when registering for our free training programs with optional recruitment (e.g., TeleSuccess), such as your name, email address, résumé/CV or portfolio (if applicable), and participation details.
  • Referral data: basic identifiers (name, email address) provided through employee referral programs (e.g., Tell-a-Pal Program or TAPP) solely to invite referred individuals to apply.
  • Optional or derived data (collected later in the process with prior notice): assessment results, interview notes, reference feedback, and background-check results (if applicable).

Important: Please do not include sensitive personal information (e.g., health/medical data, government ID numbers, or bank details) in your résumé/CV or application unless we expressly request it at the appropriate stage.

2. Why We Process Your Data

We process your personal data, regardless of how your application is submitted (online, by email, in person, through referral, or via our free training programs with optional recruitment), to:

  • Evaluate your application: for employment or OJT opportunities, schedule interviews, and communicate with you.
  • Assess suitability and readiness: including participation in free training programs with optional recruitment (e.g., TeleSuccess) and results of related assessments.
  • Verify your qualifications: conduct assessments, and (where applicable) perform reference or background checks with your separate authorization.
  • Comply with legal or regulatory requirements: such as pre-employment documentation if you receive an offer.
  • Ensure integrity and security: by maintaining application logs for fraud-prevention purposes.

Our lawful basis for processing includes your consent (e.g., when you submit your application or register for a program), processing necessary to take steps at your request before entering into a contract, and compliance with legal obligations. Where sensitive personal information is involved (e.g., medical data for pre-employment requirements), we will obtain separate, explicit consent as required by law.

3. Data Sharing and Disclosures

We may share your personal data, as necessary for recruitment, OJT programs, free training programs with optional recruitment (e.g., TeleSuccess), or referral administration (e.g., TAPP), with:

  • Authorized internal personnel: involved in recruitment, OJT program selection, training administration, and referral program processing.
  • Service providers: including HR, IT, and secure cloud hosting providers, under written data-processing agreements ensuring confidentiality and data protection.
  • Reference and background-check providers: only with your prior written authorization, where applicable.
  • Government agencies or regulators: when required by law.

We do not sell or rent your personal data.

4. Cross-Border Storage

Our servers are hosted by a reputable third-party cloud provider, which may store data in facilities located outside the Philippines. This may include data collected through online applications, free training programs with optional recruitment (e.g., TeleSuccess), employee referral programs (e.g., TAPP), and digitized records from walk-in or OJT applicants. We implement contractual, organizational, and technical safeguards to ensure that your personal data is protected to standards consistent with applicable privacy laws.

5. Retention

We retain your personal data only for as long as necessary to fulfill the purposes described in this Privacy Notice, whether submitted online, by email, in person (walk-in), through referral programs, or via free training programs with optional recruitment:

  • Unsuccessful employment applicants: retained for up to 12 months from the close of the hiring process.
  • Talent pool (future vacancies): retained for up to 24 months or until you withdraw your consent, whichever comes first.
  • Hired candidates or accepted OJTs: retained as part of your personnel or trainee file according to company retention schedules and legal requirements.
  • OJT applicants (when the program is closed): retained for up to 6 months for possible future openings.
  • Free training program data (e.g., TeleSuccess): retained only as long as necessary to administer the program and support recruitment evaluation, then securely deleted or anonymized if no employment proceeds.
  • TAPP referral details (referrer and referee contact): retained only as long as necessary to administer the referral program and incentives, and to meet audit/records requirements, then securely deleted or anonymized.

When retention periods expire, we securely delete or anonymize your data in both physical and digital form.

6. Security

We implement organizational, physical, and technical measures to protect your personal data, regardless of how it is submitted (online, by email, in person, via referral programs, or through free training programs with optional recruitment), including:

  • Access controls and need-to-know restrictions: only authorized personnel have access to applicant data.
  • Encryption and secure storage for digital records: including applications received through our Careers page, email, TeleSuccess, and TAPP.
  • Secure transmission: when transferring applicant data electronically, we use security protocols to protect data in transit.
  • Physical safeguards: documents submitted in person (e.g., walk-in applications, OJT) are stored securely in locked cabinets or controlled areas with limited access.
  • Organizational safeguards: confidentiality agreements, regular staff training on data privacy, and periodic access reviews.
  • Ongoing monitoring: regular reviews of security protocols and systems to identify and address potential risks.

These measures are designed to ensure the confidentiality, integrity, and availability of your personal data.

7. How We Obtain Consent (by Channel)

We obtain consent appropriate to each stage and method of application:

  • Careers page: a required checkbox appears with the consent statement before submission.
  • Direct email/third-party job platforms: consent is recorded via explicit confirmation (e.g., a reply “I AGREE”) or through an acknowledgment email before processing proceeds.
  • Walk-in/OJT: applicants review the displayed notice and sign a physical Acknowledgment and Consent form before processing.
  • Free training programs with optional recruitment (e.g., TeleSuccess): consent is collected at registration; recruitment consent is optional and requested via a separate checkbox.
  • Referral program (TAPP): referrers provide details voluntarily; referees receive this Privacy Notice and provide their own consent if they choose to apply.
  • Job-ad footers: a short notice directs applicants to this Privacy Notice.

8. Your Rights

Under the Data Privacy Act, you have the right to:

  • Access, Rectification, and Erasure: request a copy of your personal data we process, correct or update your information, and request its deletion when no longer necessary for legitimate business or legal purposes.
  • Objection/Restriction: object to or request restriction of certain processing activities.
  • Withdraw consent: withdraw consent at any time without affecting prior lawful processing.

9. Minors

Our recruitment processes, including online applications via our Careers page, direct email, third-party job platforms, in-person (walk-in) submissions, OJT programs, referrals (e.g., TAPP), and free training programs with optional recruitment (e.g., TeleSuccess), are not intended for applicants under the age of 18. Please do not submit applications for minors.

10. Breach Notification

In the event of a personal data breach involving digital or physical records that is likely to pose a risk to your rights, we will promptly notify the affected individuals and the National Privacy Commission (NPC) in accordance with legal requirements.

11. Changes to This Privacy Notice

We may update this Privacy Notice to reflect changes in our recruitment practices, free training programs with optional recruitment, legal requirements, or applicable regulations. The “Effective Date” at the top of this notice will be updated accordingly. Continued participation in our recruitment process, through any channel, after any updates constitutes your acknowledgment and acceptance of the revised Privacy Notice.
